Small Businesses: How Do You Keep Track of Customer Enquiries and Follow-Ups?

One thing I've come to realise about how many small businesses manage sales is that they don't always have a problem attracting customers. Sometimes, they have a problem following up with the ones who are already interested.

Think about it.

Someone sends an enquiry on WhatsApp. Another comes in through Instagram. Someone else asks for your prices through email.

Your team responds to some, forgets others, and perhaps follows up with a few days later.

Meanwhile, some of those potential customers have already moved on.

I've always believed that before a business starts thinking about hiring more people or investing in more tools, it should first examine how its existing processes work.

This is one area where AI can make a real difference.

With a properly structured workflow, businesses can use AI to:

- Bring customer enquiries into one organised system.

- Categorise and prioritise potential customers.

- Assign leads and responsibilities.

- Set reminders so interested prospects aren't forgotten.

- Draft personalised follow-up messages.

- Monitor how enquiries turn into actual sales.

Of course, AI shouldn't take over every customer interaction. Negotiations, sensitive conversations and important decisions still require human judgement.

My point is simple: AI cannot fix a broken sales process.

Establish the process first. Then introduce AI to make it more consistent, efficient and easier to manage.

Sometimes, the next customer your business needs isn't someone new. It might be someone who made an enquiry last week and never heard from you again.

Let me ask you:

How does your business currently keep track of enquiries that haven't converted into customers?

At the end of the month, we give out prizes in 3 categories: Best Content, Top Engagers and
Most Engaged Content.
Best Content
Top Engagers
Most Engaged Content
Best Content
We give out cash prizes to between 7 and 20 community members with the best insights in the past month.
The winners are picked by an in-house selection process.
The winners are NOT picked from the leaderboards/rankings, we choose winners based on the quality, originality
and insightfulness of their content.
Here are a few other things to know for the Best Content track
1
Quality over Quantity — You stand a higher chance of winning by publishing a few really good insights across the entire month,
rather than a lot of low-quality, spammy posts.
2
Share original, authentic, and engaging content that clearly reflects your voice, thoughts, and opinions.
3
Avoid using AI to generate content—use it instead to correct grammar, improve flow, enhance structure, and boost clarity.
4
Explore audio content—high-quality audio insights can significantly boost your chances of standing out.
5
Use eye-catching cover images—if your content doesn't attract attention, it's less likely to be read or engaged with.
6
Share your content in your social circles to build engagement around it.

The all-time contributors ranking is based on the Contributor Score, which is a measure of all the engagement and exposure a contributor's content receives.
The monthly contributors ranking tracks performance of a user's insights for the current month. The monthly and all-time scores are calcuated DIFFERENTLY.
This page also shows the top engagers on an all-time & monthly basis.
